Ownership and visibility

Each customer or sales record has an owner responsible for it. Ownership also helps easySales decide whether a person with restricted access may see that record.
Why it works this way
Section titled “Why it works this way”Module permission levels have three meanings: 0 denies access, 1 allows access across the organisation, and 2 limits access to the person’s own records. The action being checked still matters, such as View or Edit.
Sharing settings can extend record access beyond the owner. Role hierarchy, teams and account teams can also connect colleagues to records they need for their work.
For example, a Lim & Co designer with Account View level 2 can see an account they own. They may not see a colleague’s account unless a sharing rule, hierarchy or team relationship gives them access.
Changing the owner changes who is responsible for the record and can change own-record access. It does not replace the role permissions required for the action.
How it relates
Section titled “How it relates”Permissions answer whether your role may perform an action in a module. Ownership and sharing narrow or extend which records are within reach.
Both checks must allow the request. Seeing an account does not automatically grant access to every related record if those modules have different permissions or sharing settings.
- Owner: The user responsible for a record.
- Level 0: No access for that module action.
- Level 1: Access to records across the organisation for that action.
- Level 2: Access to your own records for that action.
- Sharing rule: A rule that extends access to matching records.
- Team: A group relationship that can contribute to record access.
Common misunderstandings
Section titled “Common misunderstandings”- Ownership does not grant an action that the role denies.
- Level 2 does not mean a lower-quality version of level 1. It means a different record scope.
- A colleague’s record is not missing merely because you cannot see it. Your scope may exclude it.
