Send a statement at month end
Copy for AI
Customers who receive several invoices a month often pay them in one batch. A statement at month end lists every invoice, payment and credit note with the balance due, so they can check it against their own books and pay everything in one transfer.
How to do it
Section titled “How to do it”- Early in the new month, allocate any unapplied money first, so the statement’s ageing matches what the customer has paid.
- Open the account and select Statement. The Period opens on last month, from its first day to its last.
- Choose the Attention contact: the person who pays, not the person who ordered.
- Read the summary: Opening balance, Invoiced, Payments, Credit notes and Closing balance.
- Select PDF, then Download, and email the file and email it from your own address.
- Keep the PDF you sent. A statement is worked out from your records each time, so a later change, such as a back-dated payment, alters it.
Why it helps
Section titled “Why it helps”One document replaces a pile of invoices, and the customer pays the balance due instead of picking invoices out of their inbox. The ageing at the foot of the PDF adds up to that balance, so they can see at once which items are late. A statement also brings out differences early: a payment you have not recorded, or a credit note they never received.
Example
Section titled “Example”On Monday 2 November 2026, Mei Tan opens Harbour Café and selects Statement; the Period reads 1 to 31 October.
| Line | Amount |
|---|---|
| Opening balance | SGD 1,090.00 |
| Invoiced: INV-10000341 SGD 2,180.00 and INV-10000347 SGD 545.00 | SGD 2,725.00 |
| Payments | − SGD 1,090.00 |
| Closing balance | SGD 2,725.00 |
1,090.00 + 2,725.00 − 1,090.00 = 2,725.00. She picks the café’s finance contact under Attention and emails the PDF. A week later the café transfers SGD 2,725.00, and Mei records one payment that pays both invoices.
Common questions
Section titled “Common questions”- Which period should a month-end statement cover? The month just closed, which is the default. Anything still owed from earlier months is carried in the Opening balance, so the Closing balance is everything the customer owes.
- Can I make statements for all customers at once? No. Each statement is made from its own account. Receivables ageing under Reports lists every customer with a balance, so you know which accounts to open.
- Can one payment pay several invoices? Yes. Record one payment and tick every invoice it pays. See Record a payment.
