Cancel your plan

Use this page when your company no longer wants to renew easySales. What each licence status allows is on Trial and subscription.
Before you start
Section titled “Before you start”- You need System View and System Edit.
- Download anything you want to keep outside easySales, such as invoice PDFs, while everyone can still work in it.
- To pay less rather than stop, lower the plan or seats instead; see Change plan or seats.
- Select Licence in the sidebar.
- In Billing, on the Payment method card, select Manage payment and invoices. Stripe’s secure page opens.
- Choose to cancel the subscription and confirm on Stripe’s page.
- Follow Stripe’s link back to easySales. The Licence page shows the end date once Stripe has told easySales, which can take a minute.
What happens next
Section titled “What happens next”- The plan card reads Ends on the last day of the period and does not renew. Until then everything keeps working, and nothing more is charged.
- At the end of the period the company becomes Suspended: only administrators can sign in, and changes are switched off. All data is kept.
- To come back while suspended, an administrator selects Choose a plan and pays; the company is restored at once.
- 30 days after the end of the period the company is Closed, and nobody can sign in. For 180 days after that, contacting [email protected] can still restore it; then its data is deleted. The administrators get an e-mail 30 days and 7 days before the data is deleted.
Rules to know
Section titled “Rules to know”- Cancellation always takes effect at the end of the period you have paid for. Nothing is refunded automatically for the rest of that period.
- Stripe’s page is also where you change the card and see invoices; see Payment and invoices.
- An AI app or a personal token cannot cancel the plan: billing is open only to a person signed in to easySales.
Why it works this way
Section titled “Why it works this way”You keep what you have paid for. A cancellation stops the next renewal, not the current period. Your team works normally until the last paid day, which leaves time to finish open jobs, collect payments and download what you need.
Suspended first, closed later. At the end of the period only administrators can sign in, and nothing can be changed. Your records stay exactly as they were on the last paid day, matching what your customers and your accountant already have.
Your data is not deleted the day you leave. It is kept until 180 days after the company is closed, and the administrators are e-mailed 30 days and 7 days before it is deleted. Tax authorities can ask for invoices and receipts years after a sale, so keep your own copies for as long as the law requires; see Keeping records.
Cancellation sits with the card. The subscription, the card and the tax invoices all live on Stripe’s page, so stopping the renewal happens in the same place that charges you. Only people with the billing permissions can reach it.
Work faster
Section titled “Work faster”- Export your invoices before the last day. Accounting export downloads a period’s issued invoices and credit notes for Xero, QuickBooks Online or Excel, or the invoices as a ZIP of PDFs. See Accounting export.
- Download your billing invoices too. Charge history has PDF for every charge, for your own records. See Payment and invoices.
- Reduce instead of stopping. Fewer seats or a lower plan start at the end of the period, with no cancellation. See Change plan or seats.
- Collect what customers owe before the last day. Chase open invoices while your team can still record payments in easySales; Get paid faster has a reminder schedule.
Examples
Section titled “Examples”Lim & Co pays monthly, renewing on the 24th. On 3 October the partners decide to stop using easySales. Daniel Lim selects Manage payment and invoices, cancels on Stripe’s page and returns. A minute later the plan card reads Ends on 24 October and does not renew.
Between 3 and 24 October the team works as usual. Daniel runs Accounting export for each month of the year and keeps the files, and downloads the PDF of each easySales charge from Charge history.
On 24 October the company is suspended: Daniel, who has the Administrator role, can still sign in, Mei Tan cannot, and nothing can be changed. On 23 November, 30 days after the end of the period, the company is closed. Its data is kept for 180 days after that, and Daniel receives reminder e-mails 30 days and 7 days before it is deleted.
