Hong Kong invoices
Copy for AI
Hong Kong has no sales tax, VAT or GST, so invoices carry no tax lines. Records still have to be kept for profits tax, and a company shows its registered name on its invoices and receipts. This page sums up the rules and shows how easySales applies them. It is a general guide, not tax advice; check with your accountant before you rely on it.
The rules
Section titled “The rules”| Topic | Rule |
|---|---|
| Sales tax | None: no sales tax, VAT or GST. |
| Contents | No prescribed tax invoice. A company states its registered name on its invoices, receipts and other transaction documents, on paper or electronic. A company with both an English and a Chinese name may use either. |
| Records | Keep sufficient business records, including invoices, receipts, vouchers and bank statements, for at least 7 years. |
How easySales applies them
Section titled “How easySales applies them”- With your company’s country set to Hong Kong, forms leave out the tax field and the PDF prints no tax row and no tax number. Your business registration number prints as “BR No.”. See Company and tax.
- With the invoice design’s title on Automatic (by tax registration), an issued invoice prints INVOICE. A heading that says “Tax Invoice” is refused at issue. See Letterhead and designs.
- Your company name comes from System settings → Company, or from a company block set in Document settings. An issued invoice, its credit notes and receipts keep the name, and the block, your company had when the invoice was issued. See Company details.
- An issued invoice is corrected with a credit note and cannot be deleted. See Credit notes.
- Money received in advance, as a Prepayment or a Security deposit, is held on the receipt; no tax invoice is issued for it. See Deposits and prepayments.
- A security deposit you keep is recorded with Forfeit security deposit, with no tax. See Forfeit a deposit.
- Write off as bad debt… reads Not applicable for relief: with no indirect tax, there is no tax to claim back. See Write off a bad debt.
Why it works this way
Section titled “Why it works this way”No tax means no tax lines at all. A zero tax row, or a tax number with nothing behind it, would make a customer wonder what was charged. Leaving them out keeps the invoice true to Hong Kong’s rules.
“Tax Invoice” would claim something that does not exist. No Hong Kong business can issue a tax invoice, so easySales stops that heading at issue rather than let it reach a customer.
Your registered name is what the law asks for. The name on your documents must be the one on the Companies Register. Keeping it right in one place, your company record, means every invoice and receipt prints it.
Work faster
Section titled “Work faster”- Check the company name once. Make the Company name match your registered name, in English or Chinese, and every document follows. See Company details.
- Keep the registered name in your own company block. If you print a different block with Edit company block, include the registered name in it. See Company details.
- Download a period’s documents at once. Issued invoices, credit notes and receipts stay on record, and Accounting export downloads a period’s invoices and credit notes as one Excel workbook, or the invoices as PDFs. See Accounting export.
- Send statements for slow payers. A customer statement shows every invoice, payment and credit in a period. See Customer statement.
Examples
Section titled “Examples”An invoice with no tax. Lim & Co’s Hong Kong company invoices Harbour Café HKD 18,000.00 for an interior design. The invoice has no tax line: subtotal and total are both HKD 18,000.00. With the title on automatic, it prints INVOICE, the company’s registered name and its BR No.
A deposit kept. A customer pays a HKD 5,000.00 security deposit on sample furniture and breaks the agreement. Mei Tan records Forfeit security deposit for HKD 5,000.00; no tax is charged on it.
Common questions
Section titled “Common questions”- Is there GST or VAT in Hong Kong? No. Hong Kong has no sales tax, VAT or GST, so invoices carry no tax.
- Does a Hong Kong invoice need to say Tax Invoice? No. Hong Kong has no tax invoice, so the heading would claim something that does not exist. easySales refuses that heading for a Hong Kong company.
- What must a Hong Kong company show on its invoices? Its registered name, on invoices, receipts and other transaction documents. A company with both names may use the English or the Chinese one.
- How long must I keep business records in Hong Kong? At least 7 years, including invoices, receipts, vouchers and bank statements.
- Can I claim tax relief on a bad debt in Hong Kong? Not in easySales: with no sales tax there is no tax portion to claim. Ask your accountant about profits tax.
