Use this page to keep your company’s payment working and to find the tax invoice for each charge. How payments, renewals and licence statuses fit together is on Trial and subscription.

You need System View and System Edit. When the company is read-only or suspended, only someone with the standard Administrator role can open billing. The billing items below are in the Billing section of the Licence page.

Change the card or billing e-mail

  1. Select Licence in the sidebar. The Payment method card shows the card on file and the Billing email.
  2. Select Manage payment and invoices. Stripe’s secure page opens.
  3. Add the new card, or change the billing details, then follow Stripe’s link back to easySales.

Download a tax invoice

  1. Under Charge history, find the charge by its Date.
  2. Select PDF to download Stripe’s invoice, or View to open it on Stripe’s page. Each opens in a new tab.

Pay an open invoice

  1. When a payment has not gone through, the banner and the plan card show Pay now.
  2. Select Pay now and pay on Stripe’s page. To pay with a different card, change the card first.
  • The new card is used for the next charge. Stripe also retries a failed payment with it.
  • A paid open invoice restores a company in its grace period, read-only or suspended at once, and the banner goes.
  • Each row of Charge history shows the Item, Amount, Coupon, Credit, GST, Paid and Status: Paid, Unpaid, Uncollectible or Cancelled. A charge for a change part way through a period is marked (prorated), and a refunded one shows Refunded with the amount under its status.
  • An Uncollectible or Cancelled charge offers PDF only, not View.
  • Each charge has a tax invoice from Stripe with the GST registration number. easySales does not issue billing invoices of its own.
  • This card expires soon or has expired appears under the card in time to replace it.
  • Credit, when your company has some, is used automatically on the next charge. It does not expire and cannot be paid out. The Credit table lists each change to the balance.
  • The plan card’s next charge shows the Price, any Coupon, the GST, any Credit and the amount Due.
  • easySales never sees or stores your card number; Stripe holds it.

The tax invoice comes from whoever collects the money. Stripe charges the card, so Stripe issues the tax invoice for that charge, with the GST registration number on it. A GST-registered company needs that document to claim the GST it paid, and your accountant can file it with the payment it belongs to.

A failed payment is retried before anything changes. A card can fail for reasons nobody at your company knows about yet. Stripe tries again and the banner asks the administrator to update the card, while everyone keeps working. Only when the retries end does the company enter its grace period. See Trial and subscription.

Credit pays before your card does. Credit added to your company’s billing is used on the next charge automatically, and the card pays only what remains. You never pay a charge by card while a balance is waiting for you.

Your card number stays with Stripe. You enter and change the card only on Stripe’s secure page. easySales shows the brand, the last four digits and the expiry date, and nothing more.

  • Update the card straight from the banner. When a payment fails, the banner’s Update payment method opens Stripe’s page without a detour to the Licence page.
  • Replace a card before it expires. This card expires soon or has expired under the card is your cue; Manage payment and invoices takes you to the page that changes it.
  • Pay the open invoice in one step. Pay now, in the banner or on the plan card, opens that invoice on Stripe’s page and restores a read-only or suspended company as soon as it is paid.
  • Send your accountant the PDFs. PDF in Charge history downloads each tax invoice; keep them with your other purchase invoices. See Keeping records.
  • Check the next charge before it happens. The plan card shows its date, GST, any Credit and the amount Due. See Change plan or seats.

A card that is about to expire. In May, the Payment method card at Lim & Co shows This card expires soon or has expired. Daniel Lim selects Manage payment and invoices, adds the company’s new card on Stripe’s page and follows the link back. The next charge goes to the new card.

A failed renewal. In June the renewal does not go through. The banner reads The latest payment did not go through. with Update payment method. Daniel adds a new card on Stripe’s page, and Stripe uses it when it tries again. Nobody at Lim & Co loses access.

Invoices for the accountant. At the end of the quarter, Lim & Co’s accountant asks for the easySales tax invoices. Mei Tan, who has the billing permissions, opens Charge history, finds the three charges by Date and selects PDF for each.

  • How do I download my easySales tax invoice? Open Licence, find the charge under Charge history and select PDF. View opens the same invoice on Stripe’s page.
  • How do I change the card for my subscription? Select Manage payment and invoices on the Licence page and add the new card on Stripe’s page. It is used for the next charge.
  • What happens if my card payment fails? Stripe tries again, and the banner asks the administrator to update the payment method. Everything keeps working while it retries.
  • Does the invoice show a GST registration number? Yes. Each charge has a tax invoice from Stripe with the GST registration number.
  • What is the Credit on my billing page? An amount held for your company and used automatically on the next charge. It does not expire and cannot be paid out.
  • Can I pay an open invoice with a different card? Yes. Change the card first with Manage payment and invoices, then select Pay now.
  • Why can’t I see Billing on the Licence page? It needs System View and Edit. While the company is read-only or suspended, only the standard Administrator role can open it.
