Overdue and unpaid
To follow up on money you are owed, use the invoices list for the whole business and the account page for one customer. Both are built on each invoice’s outstanding balance.
Before you start
Section titled “Before you start”You need Invoice List and View. The Receivables card on an account also needs Account View, and Invoice access set to All records.
- Select Invoices in the sidebar. The list opens on Unpaid and Partial Paid invoices.
- Look for due dates in red: those invoices are past due and still owe money.
- Read Total Outstanding under the rows for the total still owed across the invoices shown. Use Filters to narrow the list, and the total follows.
- To see one customer, open the account. The Receivables card shows Outstanding, Overdue, Invoiced to date, Last payment and Customer credit.
- Read Ageing by due date: what is owed split into Current, 1–30, 31–60, 61–90 and 90+ days past the due date.
- Select Statement…, choose a period and select Download PDF to send the customer a statement of account.
What happens next
Section titled “What happens next”Nothing changes on the invoices. The figures update as soon as a payment or credit note is recorded, so a paid invoice drops out of the default list and its amount leaves Total Outstanding.
Rules to know
Section titled “Rules to know”- An invoice with no Due date never becomes overdue.
- The Receivables card converts foreign-currency invoices to your main currency at each invoice’s own rate, and lists separately any invoice it cannot convert.
- Money a customer paid but that is not yet applied to an invoice is shown as Customer credit, not deducted from Outstanding.
- Draft and voided invoices are left out of Total Amount and Total Outstanding.
