Weekly sales routine

Deals rarely fail in one dramatic moment. They drift: a follow-up slips, a quotation waits a week too long, an invoice goes unchased. A short, fixed review once a week catches the drift while it is still easy to fix. This article gives a 30-minute routine for a salesperson, and a version for whoever leads the team.
Good practice
Section titled “Good practice”Same time, every week. Monday morning sets up the week; Friday afternoon closes it. Pick one and put it in the calendar, so it happens when the week is busy too.
Every open deal has a next step. The review’s main question for each deal is “what happens next, and when?”. A deal without an answer gets one before the review ends, or is closed as lost.
Look at money as well as deals. A sale is finished when it is paid. Overdue invoices belong in the same review as new opportunities.
Clean as you go. Close the deals you know are lost, update expected close dates that have passed and correct values that changed. A forecast is only as good as the data behind it.
For the team leader: ask, do not inspect. The weekly review is for finding where someone needs help — a stuck deal, a difficult customer, too much on their plate — not for ranking people.
Do it in easySales
Section titled “Do it in easySales”A 30-minute checklist, in this order:
| Minutes | Check | Where |
|---|---|---|
| 5 | Your overdue and due-this-week tasks | My work: Overdue, Today, Next 7 days |
| 5 | Everything easySales says needs you | To do in the message centre: quotations to follow up, overdue invoices, deals with no next step |
| 10 | The pipeline, stage by stage | The pipeline board: a red Expected Close Date has passed; move, update or close |
| 5 | Quotations waiting for an answer | Quotations list on Open: call the oldest, and those near Expires |
| 5 | Money owed | Invoices list filtered to a past Due Date, or the Receivables ageing report. See Overdue and outstanding |
For whoever leads the team, add ten minutes:
- The team view. In My work, select Team. This week shows each person’s notes, communications, meetings held and tasks done, and No next step lists open opportunities with nothing booked. See Team view.
- The forecast. Opportunities → Forecast shows the weighted amount expected in each of the coming months, by owner. See Sales forecast.
- The month so far. The Sales performance and Quotation conversion reports show who sold how much and how many quotations turned into invoices. See Reports.
To start each day the same way, turn on the Morning to-do e-mail under My profile → Notifications: one email each morning listing what is in your To do. See Notification settings.
Examples
Section titled “Examples”Monday, 9:00. Marcus Tan opens My work: two tasks overdue from Friday, a site visit today. In To do, QN-10000131 has had no contact for three days since it was sent; he calls the customer and logs the call, and the reminder clears. On the board, an opportunity’s Expected Close Date passed last week — the customer has postponed to January, so he changes the date. Another has gone silent for a month after his last message; he marks it Lost with No decision. Last, the Invoices list shows INV-10000312 seven days overdue; he sends the day 7 reminder from Get paid faster and posts a task for day 14.

Common questions
Section titled “Common questions”- How do I review my sales pipeline? Once a week, go through every open deal and make sure it has a next step with a date, a realistic close date and a current value; close what is lost. In easySales, use the pipeline board.
- How long should a weekly sales meeting take? Fifteen to thirty minutes, with the same agenda every week: wins, deals closing this month, deals without a next step, overdue invoices and help needed.
- What is a weighted forecast? Each open deal’s value times its probability of winning, added up. A SGD 10,000.00 deal at 40% adds SGD 4,000.00. See Sales forecast.
- How do I find deals that have stalled? Open deals with no open task and no future event appear in their owner’s To do and in the team view under No next step.
- Can I get my to-do list by email every morning? Yes. Turn on the Morning to-do e-mail under My profile → Notifications. See Notification settings.
- Can a team leader see each person’s activity? The team view shows the week’s activities for the people who report to the leader or are in a team they lead, counting only what the leader is allowed to see. See Team view.
