A customer calls about “the invoice ending 319”. Instead of opening Invoices and paging through it, type a few characters into the search box in the top bar and open the record from the results.
How to do it
Section titled “How to do it”- Press / anywhere outside a text box, or select the box that reads Search accounts, contacts, documents…. On a narrow screen it is a search button in the top bar.
- Type part of a name or number. A fragment is enough: 319 finds INV-10000319, and “harb” finds Harbour Café.
- Read the results under Accounts, Contacts, Documents and Opportunities, up to five of each. A document is marked Quotation or Invoice; a contact shows its account.
- Use the arrow keys and Enter, or select a result, to open it. Esc closes the list.
What the box matches:
- Accounts by name.
- Contacts by their own name or their account’s name, so a company name also lists its people.
- Quotations and invoices by number or by name.
- Opportunities by name.
When you need more than five results, or a field the box does not match, search the module’s own list. Its search box says what it covers: the Contacts list searches by contact, account, email or phone, and the Invoices list by invoice number or account.
Why it helps
Section titled “Why it helps”You skip the list altogether: no module to open, no filter to clear, no page to turn. The search runs over every record your role may list and shows nothing your role may not list, so with Own records only you see only your own records.
Example
Section titled “Example”Harbour Café’s manager calls Mei Tan to ask what the café still owes. Mei presses / and types “harbour”. Harbour Café appears under Accounts and its manager under Contacts. She presses Enter on the account and reads Outstanding under its heading while she is still on the phone.
Common questions
Section titled “Common questions”- Why can’t the top-bar search find an email address or phone number? It matches names and document numbers only. Type the email address or number into the search box of the Contacts list instead.
- How do I see every invoice for one customer? The top-bar search shows at most five invoices. Open Invoices and type the account name into its search box. The list’s filters still apply, and it opens on Unpaid and Partial Paid; widen the Status filter to see paid ones too.
- Does the top-bar search find credit notes? No. Search the Credit notes list, which finds a credit note by its number, its invoice or the account.
- Why is a record I know exists missing from the results? Your role may not list that kind of record, or there are more than five matches of that kind. Type more of the name or number.
