Set up your products once
Copy for AI
If you type the same service, price and wording into every quotation, put it in your product list once. Picking it on a line then fills in the unit, the price and the description for you.
How to do it
Section titled “How to do it”- Select Products in the sidebar, then New product.
- Choose the Type, Goods or Service, and enter the Name and Unit.
- Under Pricing, choose the Currency and enter the List Price.
- Write the Description the customer will read; it is copied onto each line.
- Select Create product.
- On a quotation, select Add line and search for the product. Picking it fills in the Unit, Unit price and Description; enter the Qty.
A product has no tax of its own: the tax is set on the quotation, and Per-line tax rates gives one line a different rate. To load a whole price list at once, use Data import with an .xlsx or .csv file; each product needs a category that already exists.
Why it helps
Section titled “Why it helps”A price typed once is the same on every quotation, whoever writes it, and a description written carefully once reads well on every PDF. A new product cannot take the name of an active product, so nobody picks the wrong one of two look-alikes. A product made from a quotation line, by choosing Create new product “…”, starts with the price you have just quoted a real customer.
Example
Section titled “Example”Lim & Co sets up two services: “Design consultation” with Unit HR and a List Price of SGD 150.00, and “Site measurement” at SGD 250.00. For Harbour Café, Mei Tan adds both on two lines and enters 8 hours of consultation:
- 8 × 150.00 = 1,200.00
- 1 × 250.00 = 250.00
The subtotal is SGD 1,450.00, GST 9% is SGD 130.50, and the quotation totals SGD 1,580.50. Nothing was typed but the quantity.
Common questions
Section titled “Common questions”- Can I set a tax rate on a product? No. A product has no tax field. Choose the tax on the quotation or invoice, and use Per-line tax rates for a line taxed differently.
- If I change a product’s price, do my old quotations change? No. A line keeps the price it was given. The new list price fills lines you pick afterwards.
- Can I give one customer a different price? Yes. Type another Unit price on that line; the product keeps its List Price.
- Do I need every product set up before my first quotation? No. With Product Add, type a new name on a line and choose Create new product “…”; the product is created when you save.
