Filter a list
Copy for AI
A list of every invoice since you started is too long to read. A filter cuts it down to the ones you are working on today, such as last month’s unpaid invoices for one salesperson.
How to do it
Section titled “How to do it”- Open the list, such as Invoices. It opens on Unpaid and Partial Paid; Quotations opens on Draft and Open.
- On a computer, change Status or Sales Person in the toolbar above the list. They apply as soon as you change them.
- For anything else, such as Invoice Date or Due Date, select Filters, set the condition and select Apply filters.
- For a date range, pick a preset instead of typing: This month, Last month, This quarter, This year or Last 30 days.
- Each condition set under Filters shows as a tag above the list. Remove one with its ×. Clear filters removes every condition, the status included, and empties the search box.
- Work through the result by opening each record in a new browser tab: Ctrl-click (⌘-click on a Mac) or middle-click its number or name. The filtered list stays as it is in its own tab.
Credit notes, Opportunities, Products, Purchase orders and Delivery orders have filters of their own, in the toolbar or under Filters. Accounts and Contacts have none: narrow them with the search box above the list.
Why it helps
Section titled “Why it helps”Search, filters and sorting run on every record your role may list, not only the page on screen, so the first row after sorting is the real first. Opening records in new tabs matters because a list does not keep your conditions once you leave it: open Invoices again and it starts from Unpaid and Partial Paid.
Example
Section titled “Example”On 3 November Daniel Lim chases October’s late payers. On Invoices the toolbar already shows Unpaid and Partial Paid. He selects Filters, picks Last month under Due Date and selects Apply filters; the list now holds every unpaid or part-paid invoice that fell due in October. He sorts by Due Date and Ctrl-clicks each invoice to log his call on it; the same list is waiting in the first tab.
Common questions
Section titled “Common questions”- Does easySales remember my filter values? No. Each list starts from its own default every time you open it. What is saved is which conditions the Filters box asks for, chosen on the Filters tab of List Column Setting on Quotations and Invoices.
- Can I save a filtered view to use again? There are no saved filter views. Keep the list open in its own browser tab while you work, or use a date preset, such as Last month, which moves with the calendar.
- Why is there no Sales Person filter on my list? Your role sees Own records only, so the list already holds only your own records.
- Can I filter by a field my company added? On Quotations and Invoices, yes: an administrator ticks Filterable on the field under System settings → Custom fields, and it can then be added on the Filters tab.
