Reuse a quotation for a repeat job
Copy for AI
When a customer asks for the same job again, or another customer wants something similar, start from the quotation you already wrote. Every line, price and term comes across in one step, and you change only what differs.
How to do it
Section titled “How to do it”- Open the past quotation. Any status works, a Rejected or Superseded one included.
- Select Copy in the ··· menu, under Document, and confirm with Copy.
- The new draft opens with the same customer, lines and terms, dated today, with you as its Salesperson.
- Change the contact, quantities and prices that differ. If a message says something was not copied as it was, check that part.
- Select Finalise to give it its quotation number.
Revise instead of copying when it is the same deal and the customer has already seen the offer: Revise in the ··· menu makes the next version, such as QN-10000125-R1, and the version the customer saw becomes Superseded when you finalise it. Revise needs the latest version, Open or Accepted, with no invoice from it, draft or issued.
Why it helps
Section titled “Why it helps”Retyping lines is where wrong prices and missing items creep in. A copy brings the whole offer across, priced at today’s tax and exchange rates, so the new quotation is correct for today. The original keeps its number, status and invoices. A revision keeps one chain of versions, so nobody quotes from the old price.
Example
Section titled “Example”In September, Lim & Co quoted Harbour Café QN-10000140 for planters at its first outlet: 6 planters at SGD 120.00 (SGD 720.00) and installation at SGD 280.00, SGD 1,000.00 before tax, SGD 1,090.00 with GST 9%. In October the café wants the same for its second outlet, with 10 planters.
Mei Tan opens QN-10000140, selects Copy and changes the quantity: 10 × 120.00 = 1,200.00, plus 280.00 installation, SGD 1,480.00 before tax. GST 9% is SGD 133.20, so the new quotation totals SGD 1,613.20. QN-10000140 is unchanged.
Common questions
Section titled “Common questions”- Can I reuse a colleague’s quotation? Yes, if you can open it and your role has Quote Add. - Can I keep a quotation just for copying? Yes. Keep one finished quotation for each kind of job, and copy it each time; copying never changes it.
- Does the copy keep the original’s billing plan or sent date? No. It does not carry the original’s status, sent marks, billing plan, invoices, activities or attachments.
