Message centre

The message centre collects what colleagues and easySales send you: mentions, tasks for you, approval requests and news on the documents you follow. It has two parts — To do for things you must act on, and Updates for things you should know.

When something happens — a mention, a task, news on a followed document — it lands in To do if you must act, or in Updates if you should know. Your email settings for that type and priority decide whether it is emailed too. It is emailed now, in a digest or not at all. Digests go out one email per person per run and wait while your quiet hours last; urgent email does not.Something happensa mention, a task, newson a followed documentTo doDone or snoozeUpdatesmark read, archive orsnoozeEmail for this typeand priority?In-app onlymessage centre, noemailE-mail nowurgent, unless youchange itDigestnormal; one email perperson per runQuiet hoursnormal email waits;urgent is sentfor you to actfor you to knowoffnowdigest
  1. Something happens: a colleague mentions you, a task is given to you, a document you follow is issued or paid.
  2. It lands in To do if you must act on it, or in Updates if you only need to know.
  3. Your notification settings decide, by type and priority, whether it is emailed as well.
  4. Whatever is due to be emailed to you at the same moment goes in one email, held back during your quiet hours. Urgent items are not held back.

An urgent mention is emailed at once unless you changed that setting — see Write an activity.

To do is worked out afresh each time from your own records, and an item leaves it as soon as its cause is dealt with:

Group What appears
Activities Tasks assigned to you that are due or overdue; a waiting task on the day to recheck it; an event that has ended and needs its outcome
Quotations A sent quotation with no communication or meeting with the customer for the number of days your company sets; a quotation not yet marked as sent after the days set; a quotation expiring within 7 days
Invoices An overdue invoice you own; a scheduled invoice that is due to be raised
Opportunities An opportunity you own with no open task or future event
Security A reminder to set up two-step verification

Each group appears only when your role can see that module.

Updates holds what is stored for you: @ mentions, tasks assigned to you, event invitations, replies and status changes on activities you follow, outcomes, reminders, being added to a space, news on documents you follow, approval requests and their answers, a scheduled invoice that could not be created, and security notices. Each is dropped for you if you can no longer see what it is about.

The bell in the top bar carries a dot while something is waiting for you. The count is beside Message centre in the sidebar: the items in To do plus your unread Updates. easySales checks for new items every minute while the app is open.

Select the bell to open the message centre panel on the right; on a phone it fills the screen. It has two tabs, To do and Updates, each with its count and its first five items. Select an item to open the activity or record it is about. Mark all read is at the top while something is unread; Open the message centre and Notification settings are at the foot.

Select Open the message centre in the bell panel, or Message centre in the sidebar.

To do lists what is waiting for you, grouped as above, with Search to-dos and a Type filter. Each item has a button for its next step:

  • Done completes a task or a recheck from the list.
  • Record outcome opens an event that has ended, so you can record what happened.
  • Add next step opens a new task linked to an opportunity that has none.
  • Snooze hides an item until In 3 hours, Tomorrow 09:00, Next Monday 09:00 or a time you pick with Pick a time…. It offers only future times, in your own time zone, and the item comes back then.

Other items go away when you have dealt with what they are about.

Updates has four views — All, Unread, Snoozed and Archived — with Search updates and filters for Type and Priority (Urgent only). Updates about the same activity or document are gathered under the newest one. On each item you can:

  • Mark read or Mark unread;
  • Archive it, to clear it from your list while keeping it under Archived, where Move back returns it;
  • Snooze it, as in To do; under Snoozed, Unsnooze brings it back at once.

On a computer, tick several updates to Mark read, Archive or Snooze them together. On a phone each update has a ··· menu with the same actions. After Done, Archive, Snooze or Mark read, an Undo link appears for five seconds.

  • You can make the message centre your home page, so it opens when you sign in instead of the dashboard. This is off unless you switch it on in your notification settings.
  • Your time zone comes from Preferences in My profile. A snooze until 9:00 means 9:00 where you are.
  • easySales keeps updates for 90 days, up to 500 per person.
  • Snoozing, archiving and marking read change only your own message centre. Done completes the task itself, for everyone.

To do is worked out, not stored. easySales builds the list from your records each time you open it, so it cannot go stale. When a customer pays, the overdue invoice leaves your list without anyone ticking anything off, and nothing in it is a reminder about work already done.

Acting and knowing are kept apart. An overdue invoice and a colleague’s reply need different things from you. To do clears only when the work is done; Updates clear when you have read them. A busy day of replies cannot bury the invoice you need to chase.

Updates follow your access. If your role changes, a record is transferred away from you or you leave a space, its updates disappear from your list and from email. A notification never shows a customer’s details to someone who can no longer open the record.

The message centre is a working list, not an archive. Updates are kept for 90 days; the record itself keeps its history on its Activities tab, so nothing you need for your books depends on an old notification.

  • Snooze instead of ignoring. An item you cannot act on today comes back at the time you choose, so your list shows only what you can do now. See Tasks for waiting tasks.
  • Clear many updates at once. Tick them and select Archive or Mark read; Undo puts them back if you ticked one too many.
  • Search before you scroll. Type a document number or a colleague’s name in Search updates to find the updates about it.
  • Let the morning email plan your day. It lists your To do at the time you choose; see Notification settings.
  • Follow only what matters. Follow the documents you care about and mute the noisy ones; see Follow a document.
  • Open it every morning. It answers the first question of the weekly sales routine: what needs me now.

At 2 pm Siti Nadia opens the message centre. Under To do she has two items: the task “Send the revised quotation”, due today, and the recheck of “Order sample tiles”, which is waiting for the supplier’s quote. She sent the quotation at lunch, so she selects Done on it. The supplier has not replied and does not open until tomorrow, so she selects Snooze on the recheck and picks Tomorrow 09:00. Under Updates she sees Marcus Tan’s mention asking for the counter price, answers him on the quotation, selects Urgent only to check nothing else is urgent, and marks the rest read.

Daniel Lim owns invoice INV-10000287 for Harbour Café: SGD 3,000.00 plus GST 9% of SGD 270.00, SGD 3,270.00 in all. The day after its due date, his To do shows “Invoice INV-10000287 is overdue”. That afternoon Mei Tan records the café’s bank transfer of SGD 3,270.00. The next time Daniel opens the message centre, the To do item has gone, and Updates holds the news that a payment was recorded on the invoice, because he owns it.

  • Why is an item still in my To do after I read it? To do items leave only when their cause is dealt with: the task done, the invoice paid, the quotation followed up. To hide one until later, snooze it.
  • How do I remove an update without deleting it? Archive it. It moves to Archived, where Move back returns it. Updates are kept for 90 days.
  • Can I undo Mark all read? Yes. Select Undo in the message that appears straight after; it marks unread again exactly the updates that were changed.
  • Why did a notification disappear? You can no longer see what it is about, for example after a record was transferred or you left a space, or it is older than 90 days.
  • Why does the bell show a dot but no number? The bell only shows that something is waiting. The count is beside Message centre in the sidebar and on the To do and Updates tabs; a count with a plus means easySales has not finished checking every item.
  • Why did an urgent mention arrive as normal? One colleague can send you up to three urgent mentions in an hour. Later ones arrive as normal and say “Sent as urgent, delivered as normal”.
  • Can my colleagues see that I snoozed or archived something? No. Those actions change only your own message centre; the task or record stays as it was.
