Issue an invoice
When a draft invoice is ready to send, issue it: it takes its invoice number and becomes the document your customer pays against.
Before you start
Section titled “Before you start”You need Invoice View and Edit. The invoice must be a Draft — an issued invoice cannot be issued again. If the draft still needs changes, edit it first: nothing about it can be changed after this step.
- Open the draft invoice.
- Select Issue at the top of the invoice, beside Preview.
- Check the Invoice date. It opens on today, and cannot be set later than today.
- Leave it as today, or set it earlier. If the draft already had its own date, select Use the draft’s date to reuse it instead of retyping it.
- Read the warning if one appears, then confirm in the Issue invoice dialog.
What happens next
Section titled “What happens next”The invoice takes its invoice number (starting INV-), and its proforma number stays on it as a
reference. Its status becomes Unpaid, it starts counting towards the list’s Total Outstanding,
and you can now record payments and credit notes against it. The due date moves with the invoice
date you chose, keeping the same number of days. The invoice cannot be turned back into a draft.
Rules to know
Section titled “Rules to know”- Issuing is one-way. There is no control anywhere to reverse it; a mistaken invoice is corrected by voiding it or by crediting it afterwards, never by un-issuing it.
- You can date the invoice earlier than the latest invoice you have already issued. easySales warns that the running numbers will then be out of date order, but still allows it.
- The invoice’s customer, currency, dates, tax settings, linked quotation, exchange rate and every line all lock at this point.
- Singapore only: if the heading on your invoice template says “Tax Invoice” but your company is not registered for GST on the invoice date, issuing is refused — change the template’s heading, or record the registration first. If you are registered and the invoice charges GST but the heading does not say “Tax Invoice”, the invoice still issues, with a warning suggesting you change the heading.
