Edit or deactivate

Keep an account up to date when the customer’s details change. If the same customer was entered twice, merge the two; if you no longer work with a customer, deactivate the account.

You need Account View and Edit to change or merge an account, and Account Delete to deactivate it or to merge another account into it. A role set to Own records only can do this only on its own accounts.

Edit an account

  1. Open the account and select Edit in the ··· menu.
  2. Change the details. The Account type cannot be changed.
  3. Select Save changes.

Merge a duplicate

  1. Open the account you want to keep and select Merge duplicate account… in the ··· menu.
  2. Choose the duplicate, then choose which value to keep for each field that differs.
  3. Review what moves, and select Merge accounts.

Deactivate an account

  1. Open the account and select Delete in the ··· menu.
  2. Read the Deactivate account confirmation and select Deactivate.
  • Edit: the account shows the new details. Invoices already issued keep the customer name and address they were issued with; drafts and new documents use the new details.
  • Merge: the duplicate’s contacts, opportunities, activities, draft and open documents move to the kept account, and the duplicate is deleted. Its issued invoices and credit notes keep their customer details and count towards the kept account’s balance.
  • Deactivate: the account leaves the active lists but keeps its history. A Business account’s contacts and documents are left as they are; deactivating a Personal account also deactivates its contact.
  • A merge cannot be undone. Only accounts of the same type that you may edit and delete are offered.
  • The kept account keeps its customer code and its owner.
  • The menu item for deactivating reads Delete, but nothing is erased.
