Chase overdue invoices in ten minutes a week
Copy for AI
Late payments pile up when nobody looks at them. Ten minutes on the same day each week, with the overdue list and a statement, means every late customer hears from you while the amount is still small.
How to do it
Section titled “How to do it”- Open Invoices, select Filters and set a Due Date range that ends yesterday. Add the Outstanding column in the list’s column settings. Total Outstanding under the rows is now the amount overdue.
- Work from the oldest due date down. The red tag beside each due date shows how many days overdue it is.
- Open the customer’s account. Overdue under its name, and the Ageing by due date on its Invoices tab, show everything that is late, not only the invoice you started from.
- Select Statement, choose the Period, select PDF and download it. Email it with a short reminder: one statement covers all of the customer’s open invoices.
- Log the reminder as a communication on the invoice, with Also create a next-step task ticked for next week. If the customer promises a date, post a task on the invoice with Waiting set to Waiting for the customer and Recheck on that date.
What to say on day 1, 7, 14 and 30 is in Get paid faster.
Why it helps
Section titled “Why it helps”A fixed day makes chasing a routine, not a confrontation, and nothing slips because you were busy. Total Outstanding on the filtered list gives you one figure to compare week by week. A statement shows the customer every open invoice at once, so one payment can clear them all.
Example
Section titled “Example”On Monday 19 October 2026, Daniel Lim sets the Due Date range to end on 18 October. Two invoices are late:
| Invoice | Customer | Due | Overdue | Outstanding |
|---|---|---|---|---|
| INV-10000301 | Harbour Café | 15 September | 34 days | SGD 2,180.00 |
| INV-10000312 | Seaside Florist | 10 October | 9 days | SGD 545.00 |
Total Outstanding reads 2,180.00 + 545.00 = SGD 2,725.00. Daniel downloads Harbour Café’s statement, emails it and books a call for the 26th. He sends Seaside Florist a friendly reminder. The whole round takes him ten minutes.
Common questions
Section titled “Common questions”- Can I see every customer’s overdue balance on one page? Yes, with Receivables ageing under Reports. It lists each customer with a balance by age, and needs Report View, Invoice List and Invoice View, all at All records, and Account List. See Reports.
- Can each salesperson chase their own customers? Yes. The Sales Person filter on the Invoices list shows one person’s invoices, and each salesperson finds “Invoice … is overdue” under To do in the Message centre for their own late invoices.
- Should I send a statement or the invoice again? Attach the invoice when one invoice is late. When there are several, a statement shows them all with the balance due.
