Change plan or seats

Use this page when your team grows or shrinks, or when your company needs a different plan. What a plan and a full seat are is on Trial and subscription.
Before you start
Section titled “Before you start”- You need System View and System Edit, and an active paid plan. While a payment is overdue, or the company is read-only or suspended, settle the open invoice first; see Payment and invoices.
- To go down to fewer seats than the users who are enabled now, deactivate users first; see User accounts.
- Select Licence in the sidebar. In Billing, select Change plan or seats.
- Change the Billing period, the Plan or the Full seats. Your current plan is marked Current plan.
- Read the summary. It says when the change takes effect and what is due: Due today for a change that starts now, or Due on a date for one that waits, with nothing charged today.
- Select the button the summary offers:
- Change now for a change that starts at once. If asked, confirm it’s you; see Confirm it’s you.
- Schedule change for a change that waits for the end of the period.
- Keep current plan to drop a change you scheduled earlier.
What happens next
Section titled “What happens next”- Plan changed. Stripe charges the difference now. The new plan or seats apply at once, and the charge appears under Charge history, marked (prorated).
- Change scheduled for a date: the plan card shows the change as From that date, or At the end of the period. Until then your current plan and seats stay as they are.
- The scheduled change was dropped. Nothing changes at the end of the period.
Rules to know
Section titled “Rules to know”- More seats and higher plans start now, and the difference for the rest of the period is charged today. Fewer seats and lower plans start at the end of the period.
- Monthly to annual on the same plan and seats starts a new annual period today. Annual to monthly always waits for the end of the year. When you change more than one thing at once, the summary says which applies.
- Change now asks you to confirm it’s you, unless you did so in the last 15 minutes.
- You cannot choose fewer seats than the full users enabled now. A plan that allows fewer users than you have enabled cannot be chosen until you deactivate users.
- When every full seat is taken, adding another user is refused with Limit reached: your plan allows that number of users. Add a seat first.
- While fewer seats are scheduled, adding a user who would not fit in that number is refused. Keep more seats or deactivate a user first.
- Card, billing e-mail and cancellation are not changed here; they are on Stripe’s page, see Payment and invoices.
Why it works this way
Section titled “Why it works this way”What you need now starts now. When you hire, the new colleague needs a seat today, so extra seats and a higher plan apply at once. You pay only the difference for the days left in the period, not a full period on top of the one you have paid for.
What you have paid for runs to the end. Fewer seats and a lower plan wait for the end of the period, so everyone keeps the access the company has already paid for. Annual to monthly waits for the end of the year for the same reason: a year paid in advance is used in full, not turned into a balance.
A charge to the card needs you, not just your session. Change now charges the company card at once, so easySales asks you to confirm it’s you unless you did so in the last 15 minutes. Every charge made here follows a recent confirmation by the person making it.
The seats you schedule are the seats you will have. While a lower seat count is waiting for the end of the period, easySales refuses a new user who would not fit in it. On the change date, every enabled user still has a seat, and nobody is locked out.
Work faster
Section titled “Work faster”- Deactivate before you reduce. Deactivating a leaver frees their seat at once, so you can schedule the lower seat count straight away. See User accounts.
- Add the seat, then the user. When Limit reached stops a new user, add one seat with Change now and add the user again. See User accounts.
- Read the plan card instead of waiting for the charge. The card shows the next charge with its Price, GST and Due figures, and any change waiting for the end of the period. See Payment and invoices.
- Settle an open invoice first. While a payment is overdue, Change plan or seats is not offered; Pay now on the plan card pays the open invoice on Stripe’s page. See Payment and invoices.
Examples
Section titled “Examples”Adding a seat mid-month. Lim & Co pays monthly for five full seats, renewing on the 24th. On 10 June Daniel Lim hires a sixth designer. He opens Change plan or seats, sets Full seats to 6 and reads the summary: Takes effect now. The difference for the rest of the period is charged today. He selects Change now, confirms it’s him, and sees Plan changed. Stripe charges the difference now. The new charge appears under Charge history, marked (prorated), and he adds the designer under User accounts.
Fewer seats from the next period. A designer leaves on 10 August. Daniel deactivates her account, leaving five enabled users, and lowers the seats from 6 to 5. The summary says the change takes effect on 24 August and nothing is charged today. He selects Schedule change. All six seats remain until then, and the plan card shows From 24 August with five full seats.
A change of mind. By November Lim & Co has six full seats again. Another designer leaves; Daniel deactivates her and schedules a drop from six seats to five. A week later Lim & Co wins a hotel project and hires a replacement, but adding the new user is refused, because the plan drops to five full seats at the end of the period and five users are enabled. Daniel opens Change plan or seats, leaves the seats at the current 6 and selects Keep current plan: The scheduled change was dropped. He then adds the new designer.
Common questions
Section titled “Common questions”- How do I add a seat to my easySales plan? Select Change plan or seats on the Licence page, raise Full seats and select Change now. Only the difference for the rest of the period is charged today.
- When does removing seats take effect? At the end of the current period. Until then every seat you paid for stays, and nothing is charged today.
- Can I switch from monthly to annual billing? Yes. On the same plan and seats, a new annual period starts today and is charged today. Annual to monthly waits for the end of the year.
- Can I change my plan while a payment is overdue? No. Change plan or seats is not offered until the open invoice is paid. See Payment and invoices.
- How do I undo a change I scheduled? Open Change plan or seats, keep your current plan, period and seats, and select Keep current plan.
- Why can’t I choose fewer seats? You cannot have fewer full seats than the users who are enabled. Deactivate users who no longer need easySales, then lower the seats.
