Ask @easy
Copy for AI
@easy is the AI assistant built into easySales. Mention it in an activity or a reply and ask in your own words. It looks up the records you can see and answers in the thread, where everyone who can read the thread sees the answer. It reads, and it can propose a change, which waits as a card for a person to approve; it never changes anything by itself. See AI proposals.
Before you start
Section titled “Before you start”- Your company must have the assistant switched on. easySales sets it up for your company first; an administrator then turns it on under System settings → AI. See AI settings.
- Your role needs Use the AI assistant and View and post on the Activities row. Administrators always have both.
- Think about who reads the thread. The answer is posted there for everyone who can read it.
- Open the thread you want to ask in: a record’s Activities tab, a space, My work or the dashboard. Start a new activity, or reply to one.
- In the text box, type @ and choose easy, the row marked AI assistant at the top of the list. A purple @easy chip appears in the box.
- Write your question, for example which of this customer’s invoices are still unpaid.
- Post the activity or the reply as usual.
Typing @easy by hand does not ask the assistant; choose it from the list.
What happens next
Section titled “What happens next”- A reply from easy, tagged AI assistant, appears under your question. It shows Working · 1s, counting up, and often one line saying what it will look up.
- The answer then takes its place. It starts by mentioning you, and a line underneath says what it read, such as Looked up 3 records or Read 4 replies in this thread. If the thread was long, it adds The thread was long, so easy read only part of it.
- Your message centre shows easy mentioned you. People who follow the thread get the usual message about a reply.
- To stop it while it works, select Stop. Only you, the person who asked, see the button. The reply then reads, for example, Mei Tan stopped easy. Deleting your question or the thread also stops it.
Use a draft reply
Section titled “Use a draft reply”When you ask @easy to draft something, such as a reply to the customer, its answer offers the text with a Use as my reply button.
- Select Use as my reply. The text goes into the reply box of the same thread.
- If the box already has text, choose Replace or Keep mine.
- Edit the text, then post your reply as usual.
Nothing is posted until you post it yourself. A draft never contains mentions or record links.
When it cannot answer
Section titled “When it cannot answer”Instead of an answer, the reply may say one of these:
| The reply says | What to do |
|---|---|
| This question went beyond the limit for a single run, so it was stopped. | Narrow it down, for example to one customer or period, and ask again. |
| Your company’s AI use for this month is used up. | Wait until the date it gives, or ask an administrator to look under System settings → AI. |
| What is left of your own AI allowance this month is not enough for this question. | Wait until the date it gives, ask a smaller question, or ask an administrator to raise your cap. |
| easy is not available right now. | Ask your administrator. |
| I can’t answer this question. | Ask in another way, or look the records up yourself. |
| I can’t reach the model right now. | Ask again later with @easy. |
Rules to know
Section titled “Rules to know”- @easy reads with your own permissions. It finds only records you could open yourself, and a record you cannot see stays hidden from it too.
- It reads the thread you asked in: the first post, the names of linked records, the newest replies (up to 30) and its own earlier answers. It cannot read attachments.
- It can look up accounts, contacts, products, opportunities, quotations, invoices, credit notes, receipts, purchase orders and activities. It does not read account statements or receivables summaries, forecasts, gross margin, refunds, recurring invoices, delivery orders, or your messages, to-dos and calendar.
- It reads and answers. It can propose a change as a card, which only a person can approve; see AI proposals. It cannot mention or ask a colleague, send anything or set a reminder. To bring a colleague in, mention them yourself.
- Only a new post or reply asks it. Adding @easy to a post you edit leaves it as plain text.
- You can have three questions waiting for @easy at a time. While three are still being answered, @easy in a new post stays plain text and gets no answer.
- If your role does not allow it, easy is greyed out in the list with Not enabled for your role. If the assistant is off for your company, it is not in the list at all.
- Its answer cannot be edited. Only you, or someone with Manage others’ activities, can delete it.
- In the record’s history and the audit log, what @easy read or wrote for you shows your name with the Internal AI assistant tag.
- Each question counts towards your company’s monthly AI budget and your own monthly cap. You never see an amount; when a limit is reached, the reply says so.
Why it works this way
Section titled “Why it works this way”The answer goes where the work is. A question asked on Harbour Café’s Activities tab is answered there, so the colleague who calls the café tomorrow sees the same figures you did, without asking again. For a question only you need answered, use AI chat.
It answers with your permissions. @easy finds exactly what you could find yourself. Two people can ask the same question and get different answers if their roles see different records; that is your role settings at work, and no thread becomes a way to read records someone may not open.
It never brings people in for you. Mentioning someone notifies them and can let them see the thread. That stays your decision, so nobody is pinged by a machine and nobody gains access to a customer’s thread without a person choosing it.
Limits keep AI use predictable. Three open questions per person and a monthly cap stop a burst of posts from using up the company’s AI for everyone else.
Work faster
Section titled “Work faster”- Ask on the record, not in a blank post. On the record’s Activities tab the thread is already linked to the customer, so a short question such as “what is still unpaid?” is enough. See Write an activity.
- Let it draft the customer message. Ask for a reminder or a reply, select Use as my reply, and edit before you post. See Follow up a quotation.
- Ask the follow-up in the same thread. @easy reads its own earlier answers, so “and which of those is oldest?” works without repeating the first question.
- Watch for the answer in Message centre. easy mentioned you tells you it has answered, so you can carry on with other work meanwhile. See Message centre.
- Bring the team’s numbers to a weekly meeting. Ask in your team’s space before the meeting, and everyone opens the same answer. See Weekly sales routine.
Examples
Section titled “Examples”Mei Tan is about to call Harbour Café. On the account’s Activities tab she replies to her last note: “@easy which of their invoices are still unpaid, and when were they due?” A few seconds later easy answers under her reply, mentioning her: two invoices are open, with their numbers, balances and due dates. The line underneath reads Looked up 2 records.
She then asks: “@easy draft a short, friendly reminder I can send them.” The answer comes with Use as my reply. Mei selects it, changes a word in her reply box and posts it.
Before the Monday meeting. In Lim & Co’s sales space, Daniel Lim posts: “@easy which of our open quotations were created this month, and what are they worth?” The answer lists QUO-208 at SGD 4,360.00 (SGD 4,000.00 plus GST 9% of SGD 360.00) and QUO-214 at SGD 2,180.00 (SGD 2,000.00 plus SGD 180.00), SGD 6,540.00 in all. Everyone in the space reads the same list before the meeting.
A question that was too big. Mei asks for every invoice of every customer since last year, and the reply says the question went beyond the limit for a single run. She asks again for Harbour Café’s invoices from this quarter only, and gets an answer.
Common questions
Section titled “Common questions”- How do I ask the AI assistant in an activity? Type @ in the text box, choose easy from the top of the list, write your question and post it. The answer appears in the same thread.
- Why does @easy not answer? It was typed by hand instead of chosen from the list, three of your questions are still being answered, your role lacks Use the AI assistant, or the assistant is off for your company.
- Who can see @easy’s answers? Everyone who can read the thread. For a private answer, use AI chat.
- Can @easy read attachments? No. It reads the thread’s text, the names of linked records and the records it looks up, never attached files.
- Can I add @easy to a post I already wrote? Not by editing it. Post a new reply that mentions easy instead.
- Can I delete or edit an answer from @easy? You cannot edit it. You, or someone with Manage others’ activities, can delete it.
- Why did @easy read only part of the thread? A long thread is cut to its first post and its newest replies; the answer then says so. Start a new thread, or put the details in your question.
