Create a quotation
To give a customer a written offer, create a quotation. You can start from the Quotations list or from the account, contact or opportunity you are working on.
Before you start
Section titled “Before you start”You need Quote Add and Edit, and List access to the contact, salesperson, products and opportunity you will choose. Every line names a product, so have your products ready — or hold Product Add to create one from the line.
- Select Quotations in the sidebar, then New quotation — or select New quotation on an account, contact or opportunity. Starting from a contact fills it in for you.
- Choose the Contact. The Account follows it.
- Type a Quotation name if you want your own reference, and check the Salesperson.
- Link an Opportunity if the quotation belongs to a deal.
- Set the Currency, the Expires date and the tax that applies.
- Under Items, select Add line, choose the product in Item, and fill Qty, Unit, Unit price and, if you track it, Unit cost. Add a description under the product name.
- Tick Per-line tax rates if one line is taxed differently from the rest.
- Under Notes, add Terms and conditions and a Remark.
- Select Create quotation.
What happens next
Section titled “What happens next”easySales creates the quotation with the status Open, gives it its Quotation ref and opens it. A blank Quotation name is filled with the quotation number. Check the figures under the lines: Subtotal, Tax, Total and, where you entered costs, Cost.
Rules to know
Section titled “Rules to know”- Every line must name a product. You can create a new product from the line if you have Product Add.
- Cost is for your own margin. It is not added to what the customer pays.
- A foreign-currency quotation needs an exchange rate to your main currency before it can be saved.
- Preview is offered once the quotation is worth more than zero.
