Raise an invoice

When you are ready to bill for a quotation, raise an invoice from it. The invoice copies the quotation, so you do not type the lines again.

You need Quote View on the quotation and Invoice Add. The quotation can be Open, Accepted or Rejected. A foreign-currency quotation needs an exchange rate to your main currency.

  1. Open the quotation.
  2. Select Raise invoice in the ··· menu, or New invoice on the Invoices tab.
  3. Read the Raise invoice confirmation.
  4. Confirm.

easySales creates a draft invoice and opens it. It copies the quotation’s contact, salesperson, currency, tax, Terms and conditions, matching custom fields and every line, and works out its own totals. The invoice date is today and the due date follows the payment term.

The draft has its own proforma number and takes its invoice number when you issue it. It appears on the quotation’s Invoices tab, and the quotation keeps its own status and number.

  • Raising an invoice does not accept or close the quotation. Record the customer’s decision separately.
  • You can raise more than one invoice from the same quotation, for example one per stage of a project. Each copies all the lines, so adjust the quantities on the draft before you issue it.
  • The quotation’s Remark and the lines’ Unit cost are not copied.
  • Later changes to the quotation do not change the invoice.
