Quotations
A quotation is your offer to a customer: what you will supply, at what price and on what terms. Send one before the customer owes you anything, and raise an invoice from it when you are ready to bill.
Where to find it
Section titled “Where to find it”Select Quotations in the sidebar. The list opens on Open quotations; change the Status filter to see the others. Select a Quotation ref to open a quotation and see its lines, the invoices raised from it, its activities and its history.
What you can do
Section titled “What you can do”- Create a quotation and work with its lines.
- Preview the PDF to send to the customer.
- Revise it while it is Open.
- Accept or reject it when the customer decides.
- Raise an invoice from it, once or in stages.
- Quotation ref — the number easySales gives the quotation, starting
QN-. It cannot be changed. - Quotation name — your own reference for the customer; left blank, it is the quotation number.
- Open — the quotation can still be edited, accepted or rejected.
- Accepted / Rejected — the customer’s decision; the quotation is closed and read-only.
Common misunderstandings
Section titled “Common misunderstandings”- A quotation is not an invoice and does not create an amount to collect.
- Accepted does not mean paid. Payments are recorded on invoices.
- An expired quotation stays Open; the expiry date only shows a notice.
Permissions
Section titled “Permissions”You need Quote List and View to see and open quotations, Add and Edit to create and change them, and Invoice Add to raise an invoice. A role set to Own records only sees the quotations whose salesperson it is.
