Every sale in easySales starts with a customer. An account is the company or person you sell to, and a contact is a person you deal with at that account. Quotations, invoices, receipts and credit notes all hang from them, so set them up first.

Select Accounts or Contacts in the sidebar. The lists show the records your role allows you to see.

The Account and Contact modules control who can list, view, add, edit and delete customers, and whether they see all records or their own only. See Roles and sharing.

Set the customer up once, and every document starts from it. The account holds the customer’s address, Default payment term and Default currency. Each quotation and invoice for one of its contacts starts with them, so nobody retypes them and no document goes out with an old address.

Every customer has an owner. The Account Owner is the colleague responsible for the customer. With Own records only, a salesperson works with the customers they own and those shared with them, not the whole company’s list.

Customers stay when people leave. Accounts belong to your company, not to the salesperson. When someone leaves, their customers and open work are transferred to a colleague, so nothing is lost and every customer still has someone following up.

  • Find anyone from the top bar. Press / outside a text box and type a name to open an account or contact directly. See The workspace.
  • Search contacts by email or phone. The Contacts search box also matches an email address or phone number, which helps when you have only a missed call. See Contacts.
  • Start the quotation from the customer. New quotation in the account’s ··· menu fills in the customer for you. See Account details.
  • Bring an existing customer list in at once. Data import loads accounts and contacts from an .xlsx or .csv file.
  • Hand over customers in one step. Transfer records on a user moves their accounts and open work to a colleague. See Transfer records.

A new customer, start to finish. Lim & Co wins a job from Harbour Café Pte Ltd. Mei Tan selects Accounts, then New account, creates a Business account with herself as Account Owner and a Default payment term of NET 30, and adds the owner, Grace Wong, as a contact. Her first quotation, addressed to Grace, starts with NET 30: SGD 4,000.00 for the design, plus GST 9% of SGD 360.00, SGD 4,360.00 in all.

A salesperson leaves. Priya Nair is leaving Lim & Co and owns 40 accounts. Before her last day, Daniel Lim opens her user record, selects Transfer records and moves her accounts, contacts and open quotations to Mei. The customers keep their history; each now shows Mei as Account Owner.

  • How do I add a new customer? Select Accounts, then New account. Choose Business for a company or Personal for an individual, then add the people you deal with as contacts. See Create an account.
  • Where do I set a customer’s payment terms? On the account, in Default payment term. New quotations and invoices for its contacts start with it. See Account details.
  • Can other salespeople see my customers? It depends on their role. With All records they see every customer; with Own records only they see their own, plus any shared with them.
  • What happens to a salesperson’s customers when they leave? Nothing is deleted. An administrator uses Transfer records to give their accounts and open work to a colleague.
  • Why can’t I see Accounts or Contacts in the sidebar? Your role has No access to List on the Account or Contact module. Ask an administrator.
  • Can I find a customer by phone number? Yes. Type it in the Contacts search box, which matches contacts by name, account, email or phone.
