Pipeline board

Use AI with help

The board shows your open opportunities as cards, one column per stage, so you can see the whole pipeline and move deals forward.

You need Opportunity List to see the board and Edit to move a card. A card your role cannot move shows a padlock: “Your role cannot move this opportunity.”

To mark a deal lost you choose a reason. Your administrator keeps the list of reasons in the OpportunityLostReason option set under custom fields; it starts with Price, Competitor, No budget, No decision, Timing and Other.

  1. Select Opportunities in the sidebar, then Board.
  2. Narrow it with the search box, Stages, Owners or Filters if you need to.
  3. Drag a card to another column. Or select ··· on the card and choose the stage under Move to. easySales confirms the move and offers Undo.
  4. To mark a deal won, drag the card: two targets appear while you drag. Drop it on Drop here to mark as won, or choose Mark as won in the card’s ··· menu. Select Mark as won to confirm. If no quotation for the deal is accepted, the dialog warns that the win counts at the expected value; you can still go ahead. If the deal has two or more accepted quotations, the dialog lists them so you can reject a duplicate.
  5. To mark a deal lost, drop it on Drop here to mark as lost (a reason is required), or choose Mark as lost in the menu. Choose a Lost Reason, add Lost Reason Details if you like, and select Mark as lost.

Each move is saved at once, added to the opportunity’s Stage history, and sets the probability to the new stage’s default.

A won deal gets today’s Closed Date and a probability of 100%; a lost one gets today’s Closed Date, 0% and your reason. Both leave the board. Above the columns (below them on a phone), the Won and Lost figures total the deals closed this month, with their count. A won deal counts at its contract value — its accepted quotations before tax, in your base currency — where you can see one, and at its expected value otherwise; a note under the Won total says how many deals were counted at the expected value. To reopen a closed deal, open it and select Reopen in its ··· menu.

  • A column head shows the stage, its default probability, the number of deals, their total amount and the Weighted amount: each amount times that deal’s own probability. These cover every opportunity you can see, not only the cards loaded. “No amount” counts the deals without one.
  • A card shows the account, the amount in your base currency, the owner’s initials and the Expected Close Date — red, marked Overdue, once passed. A gold percentage means the deal’s probability differs from the stage’s default.
  • Cards run from the soonest expected close, 50 at a time; select Load more for the rest.
  • On a phone the board shows one stage at a time: choose the stage above the cards, and move a card with its ··· menu.
  • If a colleague moved the deal a moment before you, your move is refused. Refresh and try again.
  • A column Stage no longer configured holds deals on stages your company has since removed. You can move cards out of it, not into it.
  • The board shows at most 5,000 open opportunities. Above that, narrow the filter.
  • A lost deal keeps its reason even if it is reopened later.

Every move is on the record. A move between stages is saved at once and written to the deal’s Stage history, with the new probability. Anyone reviewing the deal later can see when it advanced and when it stalled.

Losing a deal needs a reason. A reason on every loss shows you, over a quarter, whether you lose on price, timing or to a competitor — something a pipeline of silent losses never tells you.

The first move wins. When two people move the same card at once, the second move is refused instead of quietly overwriting the first. Nobody’s decision disappears without them knowing.

The totals are complete or not shown. Column totals cover every deal you may see, not only the cards loaded. Above 5,000 open deals the board asks you to narrow the filter rather than show a total that is short.

  • Undo a slip. After moving a card between open stages, select Undo in the message to put it back.
  • Show only your deals. Choose your name under Owners; the filter stays when you switch to the list or the forecast. See Opportunities.
  • Use the card menu instead of dragging. ··· on a card lists every stage under Move to, plus Mark as won and Mark as lost — handy on a phone or a long board.
  • Open a deal in a new tab. Ctrl-click (Cmd-click on a Mac) the card’s name to keep the board where it is.
  • Start with the red dates. A red Expected Close Date is a deal to move, update or close. See Weekly sales routine.
  • Close it properly. Close the deal covers acceptance, the deposit and the hand-over that follow a win.

Reading a column. Lim & Co’s “Proposal” stage has a default of 60% and three cards: SGD 10,000.00 at 60%, SGD 5,000.00 at 60% and SGD 8,000.00 at 40% (gold, because it differs from the default). The column shows SGD 23,000.00 and Weighted SGD 12,200.00: 6,000.00 + 3,000.00 + 3,200.00.

Marking a deal won. Marcus Tan drags “Harbour Café fit-out” to Drop here to mark as won. Its accepted quotation, QN-10000140, comes to SGD 12,000.00 before tax, so the dialog has no warning; he selects Mark as won. Earlier this month Lim & Co also won a deal with no accepted quotation and an expected value of SGD 3,500.00. The Won figure now reads SGD 15,500.00, “This month: 2”, with the note “1 at the expected value (no contract value to show)”.

Undoing a move. Mei Tan drags a card to “Negotiation” by mistake. She selects Undo in the message, and the card returns to “Proposal”.

  • How do I mark a deal as lost? Drag the card onto Drop here to mark as lost (a reason is required), or choose Mark as lost in its ··· menu. Choose a Lost Reason and select Mark as lost.
  • How do I reopen a deal I marked as lost? Open the opportunity, select Reopen in its ··· menu and choose an open stage. It returns to the board and keeps its lost reason.
  • Why can I not move a card? It shows a padlock: your role has no Opportunity Edit for that deal. With Own records only, you can move only your own deals.
  • Why is a card’s date red? Its Expected Close Date has passed. Move the deal, change the date or close it.
  • Why does the board say too many opportunities match? It shows at most 5,000 open deals. Narrow it with Owners, Stages or Filters.
  • Can I use the pipeline board on my phone? Yes. It shows one stage at a time; move a card with its ··· menu.
