Activities
Copy for AI
Activities are the follow-up around your customers and deals: what was said, what still has to be done and what is booked. You post an activity on the record it is about, or in a space, so the people who need it find it there, in their message centre and in My work.
How it fits together
Section titled “How it fits together”There are four kinds of activity:
| Kind | Use it for | What it adds |
|---|---|---|
| Note | Something worth remembering — what was agreed, a customer’s preference | Text, files and images |
| Task | Work someone must finish | An assignee, a due date, sub-tasks, and Waiting while it is held up |
| Event | Time booked — a meeting, a site visit | Start and end, colleagues attending, and an outcome once it is over |
| Communication | Being in touch — by phone, video, in person, by message, by email or otherwise | Channel, direction and length, and an optional next-step task |
You post an activity on an account, contact, lead, opportunity, quotation or invoice, or in a space. Colleagues reply underneath it. Type @ to mention a colleague and # to link another record, so the activity is found from both places. A task, event or communication can also carry a sub-type, such as a site visit, from the list your company keeps under System settings → Activity sub-types.
Where to find it
Section titled “Where to find it”- On a record. Open the account, contact, lead, opportunity, quotation or invoice and select its Activities tab. At the top are four buttons: Write a note, New task, Schedule event and Log communication; Log activity in the record’s header offers the same four. Below, the activities and the record’s document events (created, issued, paid and so on) are listed newest first: with Show on All, Upcoming holds the open tasks and future events, followed by Today, This week and Earlier. Show narrows the list to All, Activities only, Notes, Tasks, Events or Communications, and the sub-type filter, which reads All sub-types until you choose, narrows it further; Show older loads more. An account’s tab also gathers the activities on its contacts, opportunities and documents.
- In a space. Select Spaces in the sidebar and choose the space.
- Your own work. The sidebar group has My work, Calendar, Team, Spaces and Message centre. Your tasks and events are gathered in My work, and what colleagues send you arrives in the message centre behind the bell.
What you can do
Section titled “What you can do”- Write an activity, mention a colleague and link records.
- Track a task with sub-tasks and Waiting.
- Keep a note.
- Book an event or log a communication, and record how it went.
- See your week on the calendar, with your team’s time and document dates.
- Check who can see an activity before you write something sensitive.
Permissions
Section titled “Permissions”The Activities row of your role decides what you can do: No access, View or View and post. You also need to be able to see the record an activity is posted on. Some roles add the Manage others’ activities switch. Its holder can edit and delete activities other people wrote, restore deleted ones, move a thread to another space and change the members of any space. It opens no members-only space: its holder must join like anyone else. The Manage activity sub-types control lets its holder keep the sub-type list. See Roles and permissions.
Good to know
Section titled “Good to know”- An old link to a task, note, event or call log of the previous activities module opens a page saying so; those items were not carried over. The old addresses /tasks and /calendar lead to My work and to the calendar.
- A colleague without a display name appears as the part of their email address before the @.
Why it works this way
Section titled “Why it works this way”The follow-up lives on the record it is about. Whoever opens the customer or the quotation next — a colleague covering your leave, your manager, you in three months — sees what was said and what is booked without asking anyone. A deal does not depend on one person’s memory or inbox.
Who reads an activity follows who can see the record. An activity takes its readers from the record or space it is on, so a note about a customer’s payment terms reaches the people who deal with that customer. There is no second list of permissions to keep in step; see Who can see activities.
Documents and conversations share one timeline. The record’s own events — issued, marked as sent, paid — sit beside the calls and notes. When a customer disputes a charge or questions a quotation, the timeline shows what was sent, what was said and when.
Edits leave a trail. An edited activity keeps its earlier versions under History, and a deleted one stays on the timeline as a deleted entry. What was agreed with a customer can still be checked later.
Work faster
Section titled “Work faster”- Start from the record’s header. Log activity opens the form on the kind you choose and brings it into view, wherever you are on the page. See Write an activity.
- Book the next step with the call. When you log a communication, tick Also create a next-step task. See Events and communications and Follow up a quotation.
- Plan the day from one list. My work gathers your tasks and events from every record and space.
- Follow a document. Follow on the Activities tab of an opportunity, quotation or invoice sends you an update when it is issued, paid or changes stage. See Follow a document.
- Review the week as a team. The team view lists open deals with no next step; the weekly sales routine shows how to use it.
Examples
Section titled “Examples”One customer, one timeline. Lim & Co is refitting Harbour Café’s kitchen. On the café’s account, the Activities tab shows Tuesday’s site visit under Upcoming, then Marcus Tan’s call with the owner, Siti Nadia’s note of the kitchen measurements and “Quotation QN-10000125 marked as sent”, which comes from the quotation itself. On Friday Mei Tan covers for Marcus; she reads the tab from the top before she rings the café, and logs her own call there.
Common questions
Section titled “Common questions”- Which records can I log activities on? Accounts, contacts, leads, opportunities, quotations and invoices each have an Activities tab. Work that belongs to no customer goes in a space.
- Does an account show the activities of its contacts and deals? Yes. An account’s Activities tab also gathers the activities on its contacts, opportunities and documents, as far as you are allowed to see them.
- Why is there no Activities tab on a record? Your role has No access on the Activities row. Ask your administrator. See Roles and permissions.
- Why can I read activities but not add one? Your role has View on the Activities row. Posting needs View and post; without it the four buttons and Log activity are not shown.
- What are activity sub-types? The purposes your company records under tasks, events and communications, such as a site visit or a showroom meeting. Someone with Manage activity sub-types keeps the list under System settings → Activity sub-types. See System settings.
- Can I log activities on my phone? Yes. In your phone’s browser the four buttons on a record’s Activities tab appear as large buttons, two by two, and Show becomes a drop-down list.
