Ask the assistant about your numbers
Copy for AI
Instead of building a filter, ask. The built-in assistant, easy, reads your invoices, quotations and customers with your own permissions and answers you in a private chat panel.
How to do it
Section titled “How to do it”- Open the Invoices list and select Open AI chat, the assistant’s icon in the top bar.
- Under Try asking, a new conversation offers Which invoices are overdue, and which should I chase first?, Which invoices are due this week? and Which accounts owe me the most? Select one, then press Enter.
- Or type your own question, such as “How much did I invoice this month?” or “Which of Harbour Café’s invoices are still unpaid?”
- For one customer, open the account and select Ask AI, or type # and pick the record.
- Select an invoice in the answer to open it behind the panel, and check the figure there.
Why it helps
Section titled “Why it helps”A question in plain words gets you a list in seconds, with each invoice a link. The assistant reads only what your role lets you open, so under Own records only “all invoices” means your own and those shared with you. It does not act on its own: it cannot send email, record a payment, or cancel or delete a document. Where your company allows it, it can propose a change such as a task to chase a payment, and nothing happens until you select Approve. It does not read an account’s statement or receivables summary; open the account for those.
Example
Section titled “Example”On the Invoices list, Mei Tan selects Which invoices are overdue, and which should I chase first? and presses Enter. The answer lists Harbour Café’s INV-10000319 for SGD 2,180.00, 12 days overdue, and INV-10000325 for SGD 545.00, 5 days overdue: SGD 2,725.00 in all (2,180.00 + 545.00). Mei opens INV-10000319, starts a new conversation, selects Create a task to chase payment of INV-10000319, presses Enter and approves the task card.
Common questions
Section titled “Common questions”- Can the assistant tell me this month’s sales? It can find the invoices issued this month that you can see and add them up. For sales with credit notes deducted, by salesperson, open Sales performance under Reports, which starts on This month. See Reports.
- Can it send a payment reminder for me? No. It can draft the wording or propose a task to chase the payment; you send the reminder yourself.
- Why does its answer miss an invoice I know about? The invoice belongs to a colleague and your role does not reach it, or the question was too broad. Name the customer with #, or ask about a shorter period.
