Use email codes
Copy for AI
With email codes, easySales sends a 6-digit code to the email address on your profile each time it needs your second step. Use them when you would rather not install an app. How they fit with the other methods is on Sign-in security.
Before you start
Section titled “Before you start”- Your account needs an email address you can read: the Email on My profile.
- Your company must allow email codes. If it allows authenticator apps only, the No smartphone? Use email codes button does not appear; use an authenticator app instead.
- You use email codes or an authenticator app, not both. To move to an app, turn two-step verification off and on again with the app — possible only while your company does not require it — or, if you have a passkey, select Remove email codes on the Passkeys card and then Turn on with the app.
- Open your menu, select My profile, then Sign-in & security, and find Two-step verification.
- Beside Two-step verification, select No smartphone? Use email codes.
- In Turn on email codes, select Send code. If easySales asks, enter your password in Confirm it’s you and select Confirm.
- Type the 6-digit code from the email into Code from the email and select Confirm.
- Save your ten recovery codes, tick I have saved these codes and select Done — see Use recovery codes.
What happens next
Section titled “What happens next”The page shows On beside Email codes. At each sign-in on a device you have not trusted, easySales emails you a code as soon as your password is accepted. Type it into Verification code and select Verify. If the email has not arrived, check your junk folder, then select Send a new code once its countdown ends.
Rules to know
Section titled “Rules to know”| Rule | Limit |
|---|---|
| Code length | 6 digits |
| A code is valid for | 10 minutes |
| Wrong tries per code | 5; then send a new code |
| A new code | Once a minute, at most 5 in 15 minutes; it replaces the earlier code |
| The whole code step | At most 15 minutes after your password; then sign in again |
| Combined with an authenticator app | Not possible — one or the other |
If your company later allows authenticator apps only, your email codes keep working.
When your email address changes
Section titled “When your email address changes”A code must reach the right mailbox, so email codes stop the moment the email address on your profile changes — whether you changed it or your administrator did. Changing it does not confirm the new address; that is a separate step.
- Until you confirm the new address, sign in with a passkey or a recovery code. If you have no passkey, the second step asks only for a recovery code.
- On My profile, the Sign-in & security page says Your email address changed. Select Confirm new address. If easySales asks you to confirm it’s you, use your passkey or a recovery code; no email code can be sent yet.
- In Confirm your new email address, select Send code, enter the code sent to the new address in Code from the email and select Confirm. Your recovery codes stay as they are.
- Email codes work again from the next sign-in. easySales emails both the old and the new address that codes now go to the new one.
If your company allows authenticator apps only, you cannot confirm the new address. The page offers Set up an authenticator app instead, which replaces your email codes.
Why it works this way
Section titled “Why it works this way”Codes go only to the address you confirmed. If someone changed the email on your profile, a code sent to the new address would hand them your second step. So codes stop the moment the address changes, the new address has to receive a code before codes go there, and both addresses are told once it is confirmed.
Short-lived codes and few resends. A code lasts 10 minutes and allows five tries, and you can ask for at most five codes in 15 minutes. That leaves a guesser almost no chance, and nobody can flood your inbox by pressing Send a new code.
One method, not two. Email codes are for people without an authenticator app. Offering both would let anyone who gets into your mailbox skip the app, so you choose one.
Work faster
Section titled “Work faster”- Paste the code. Pasting or typing the sixth digit checks the code at once. Tick Don’t ask again on this device for 30 days first. See Sign in.
- Always use the newest email. Each new code replaces the earlier one, so delete older code emails instead of searching through them. See Get back in if none arrives.
- Add a passkey to stop waiting for mail. A passkey confirms at once, with no email. See Set up a passkey.
- Keep your profile email current yourself. A changed address pauses codes until you confirm it, so confirm it the same day. See Your profile.
Examples
Section titled “Examples”Priya’s email change, day by day, is example D on Security examples.
A code in the junk folder. Priya signs in at 9:00 and easySales emails a code. Nothing arrives in her inbox, so at 9:01, when the countdown ends, she selects Send a new code. The first code no longer works. The new one is valid until 9:11 (9:01 + 10 minutes), and she types it at 9:03. Had she kept asking for codes, the step would still end at 9:15, 15 minutes after her password: a code sent at 9:10 works until 9:15, not 9:20.
A company that allows apps only. Mei Tan unticks Allow email codes for people without an authenticator app. Priya’s email codes keep working as before. Farah has not set up two-step verification yet, so on her Sign-in & security page Turn on is offered without No smartphone? Use email codes, and she sets up an authenticator app.
Common questions
Section titled “Common questions”- Can I use two-step verification without a smartphone? Yes. Select No smartphone? Use email codes, if your company allows email codes.
- Why didn’t I get my verification code email? Check your junk folder and the Email on your profile, then select Send a new code once the countdown ends. After an email change, no code is sent until you confirm the new address.
- How long does an email verification code last? 10 minutes, five tries, and only the newest code works.
- How often can I ask for a new code? Once a minute, and at most five times in 15 minutes.
- Can I switch from email codes to an authenticator app? Yes: turn two-step verification off and on again with the app, or, with a passkey, select Remove email codes and then Turn on.
- What happens to my email codes when I change my email address? They pause until you confirm the new address with a code sent to it. Until then, sign in with a passkey or a recovery code.
